Ask for payment without making it awkward

Send CrewBuddy the invoice number, amount and due date. It works out how late it is and drafts a reminder in the right tone.

What you send: The customer, invoice number, amount, due date, whether any payment has come in, and how you want to be paid.
What you send
What you get: A reminder draft in a friendly, firmer or final tone, the number of days overdue, and a line on your private list of open invoices.
What you get

Fictional example.

The right tone for the stage

A first reminder a few days late is friendly and assumes it slipped through. A later one is firmer and sticks to the facts: invoice number, amount, due date, days overdue. A final reminder is only drafted when you ask for it, and it still uses only the terms you set. Every version leaves room for “it is already in the mail.”

If a change order was part of the job, the reminder can list the original amount and the change separately, so the customer sees where the total came from.

Keep a simple list

CrewBuddy keeps a private list of open invoices: customer, invoice number, amount, due date, days overdue, last reminder and next review. It updates a line only after you confirm the facts. Ask “who owes me?” and it lists them, oldest first.

It works from what you tell it or from an export or photo of your unpaid invoices in QuickBooks, Jobber or Square. This workflow uses the file or photo. With Logins, CrewBuddy can also work inside Jobber after you authorize access. It never needs your bank login or card details.

For a quote that was never accepted, use the estimate follow-up schedule instead. Collection rules and lien deadlines differ by state, so for anything past a reminder, talk to your attorney or your state contractor board. CrewBuddy does not draft legal warnings.

What CrewBuddy prepares

A reminder draft in a friendly, firmer or final tone, the number of days overdue, and a line on your private list of open invoices.

What to keep in mind

CrewBuddy does not invent late fees, deadlines or legal threats. It uses only the terms you give it.
