    1. Ask your assistant for your follow-up list with a date for each person.
    2. Open Reminders and add one reminder per person, with the date.
    3. When a reminder rings, ask your assistant for the draft for that person.
    4. Copy the draft and send it yourself.

What to text

  • Start a follow-up list. First one: the kitchen quote I sent Monday. Follow up on Friday.

  • Who do I need to follow up with this week?

  • Write a short, friendly follow-up for the kitchen quote. No pressure.

  • Write a kind text for an invoice that is two weeks late.

  • I followed up on the kitchen quote. They said yes. Take it off the list.

  • Write a text to check in with a customer one week after the job.

Steps

  1. When you send a quote or finish a job, text it to your follow-up list with a day.
  2. Use a short name for each, like "the kitchen quote." Leave out phone numbers.
  3. Twice a week, ask: "Who do I need to follow up with?"
  4. Ask for a draft for each one.
  5. Copy the draft and send it yourself.
  6. Text what happened, so the list stays true.

Your assistant:

Two on your list:
1. The kitchen quote, sent Monday. Follow up Friday.
2. The roof repair invoice, 2 weeks late.

You:

Yes. Friendly, no pressure.

Your assistant:

Here is a draft:

"Hello ____, I wanted to check that you got the kitchen quote I sent Monday. Happy to answer any questions. No rush."

This is an example. The words your assistant uses will be different.

Make it stick

  • Pick two days a week to ask for your list, like Tuesday and Friday.
  • Add the follow-up at the same moment you send the quote.

What it will not do

It does not text, email or call your customers. It writes drafts. You send them. It does not see your customer messages unless you paste them.

Good to know

Your assistant only texts you first if reminders are on. Otherwise it answers when you text it. Reminders are an add-on. Reminders and website lookups cannot both be on for the same assistant today.
