Text Replacement (built into iPhone)
Save a reply you use a lot, then type a short code and your iPhone writes the whole reply.
- Ask your assistant for the replies you send most often.
- Copy one reply.
- Open Settings. Tap General, then Keyboard, then Text Replacement. Tap the plus sign.
- Paste the reply in Phrase. Type a short code in Shortcut, like hrs1.
- Next time, type the code in any message and the full reply appears.

- Ask your assistant to write your quick replies.
- In WhatsApp Business, open Tools, then Quick replies. Tap the plus sign.
- Paste the reply, give it a shortcut, and tap Save.
- In a chat, type / to pick a quick reply. Read it, then send.
- For a hard message, copy what the customer wrote and paste it to your assistant.

I use WhatsApp Business. Write 8 quick replies for my customers: hours, prices, address, how to book, deposit, thank you, running late, and closed today. Keep each under 40 words. Suggest a shortcut for each.
Your assistant cannot see your WhatsApp chats or send in WhatsApp. WhatsApp keeps up to 50 quick replies.
What to text
A customer wrote this: (paste the message). Write a short, friendly reply that says yes.
A customer is upset that we arrived late. Write a calm reply. Say sorry and offer to come back Thursday.

Steps
- Copy the customer's message. Take out their name, phone number and address.
- Paste it in a text to your assistant. Say what you want the reply to do.
- Read the draft. Ask for changes. For example: "Shorter" or "Less formal."
- Check the facts in the draft: days, times, prices.
- Copy the draft and send it to the customer yourself.
Example conversation
A customer is upset that we arrived late. Write a calm reply. Say sorry and offer to come back Thursday.
Here is a draft:
"Hello ____, you are right, and I am sorry we were late today. That is not how we want to treat your time. We can come back Thursday at a time that works for you. What time is best?"
Shorter.
"Hello ____, I am sorry we were late today. Can we come back Thursday? Tell me what time works for you."
Make it stick
- Tell it how you talk. For example: "I am friendly and short. I never say Dear valued customer." It remembers.
- Change a word or two so the reply sounds like you. Customers notice.
What it will not do
It does not send anything to your customers. It writes a draft. You copy it and send it yourself.
